Main Purpose:
Will be in charge of physical inventory of both product & Fixed Assets and daily management of the organization stock including risk related to theft and fraud. The role involves a daily reconciliation with the NOIC staff at NOIC depot and management of stock counts in COCOs. The role will also include the safeguarding of company assets at services stations through physical verification, asset tagging and record keeping.
Key responsibilities
MAINTAIN COMPANY’S GENERAL LEDGER
Oversees the stocks , cash and fixed assets daily accounting activities required to maintain the company’s General Ledger through:
- Management of a team of accountants work related to stocks and fixed assets that includes supervision , direction and review of daily activities
- Resolution of complex accounting issues related to stocks, cash at COCO sites and fixed assets.
- Ensure month-end process are done on time from Navision to HFM reporting.
REVIEW OF GENERAL LEDGER
To ensure accuracy of posting through:
- Monthly Stocks and Fixed Assets balance sheet analysis
- Stocks and Fixed Assets coordination of monthly, quarterly and annual closing activities
- Vendors entries
ACCOUNTING PROCESSES AND PROCEDURES
Makes and implements recommendations to improve accounting processes and procedures through:
- Implementing recommendations to improve accounting processes and procedures
- Review and maintenance of Internal control systems to ensure they are strong and effective
- Work with management team to develop procedures and guidelines for safeguarding company assets
EXTERNAL AUDIT MANAGEMENT
Coordinate, monitor and execute independent audits:
- Provision of all necessary information for compliance on deadlines
- Work closely with independent auditors for preparation of annual audits
- Conduct site spot checks related to stocks and cash counts at retail sites
STOCK MANAGEMENT
- Ensuring proper records of inventory is maintained on all products across the all business and main terminal at NOIC
- Daily stock reconciliation with the Noic staff members and resolve stock variances which is a regulatory requirement
- Conduct monthly stock dips at NOIC depot and record keeping of stock sign off results
- Provide monthly NOIC stock certificates to be filed with the regulators
- Conduct monthly stock dips at retail sites for high risks sites and conduct spot audits at retail sites to make sure fuel stock are properly managed and minimise risks related to fraud and theft
- Conduct monthly stock counts and stock reconciliation at the lubricants warehouse
- E-Puma stocks balances to physical stock reconciliations
- Track SORD sign off by SOCOTEC and ensure the reports align with E-Puma balances.
- Review monthly reports provided by SOCOTEC
- Ensure that Acquittal of BOEs is done on time after 6 working days for previous month.
- Ensure that filing of all SORD and Acquittal of BOEs is robust.
FIXED ASSETS ACCOUNTING
- Ensure all fixed assets accounting processes are executed end to end from budgeting, approval, authorisation, through to capitalisation, depreciation and retirements.
- Review of company capex proposals and ensure this are aligned to the group policy
- Conduct monthly physical asset verification exercises at Puma sites and ensure assets are safeguarded
- Involved is asset tagging and record keeping of asset movements between sites and ensure disposals are aligned to the group policy
- Ensure the assets of the company are insured to minimise risk of loss
- Consolidate and maintain capex budgets vs Actual
- Perform business case analysis (P&L, DCF, IRR, etc)
Physical Cash on COCO sites
- Ensure that variances picked on CIT recons attended to on time.
- Ensure Spot checks are being done for cash and wet stocks based on CIT reports and depot closure reports.
Vendors reconciliations
- Ensure all product related vendors reconciliations are in file bi-monthly.
- Ensure all capex related vendors reconciliations are in file monthly.
- Ensure all duty related vendor reconciliations are in file bi- monthly.
- Ensure all transport related vendors reconciliations are in file bi-monthly.
- Ensure all security related vendors reconciliations are in file monthly .
- Ensure all adhoc vendors’ reconciliations are available on requests.
SYSTEMS IMPLEMENTATION:
- Being involved in system reviews and changes as is necessary to keep pace with the changes in the business model.
Requirements:
- Graduate degree in Accounting or Finance
- ACCA/CIMA/CA would be an advantage
Experience:
- A minimum of 4-5 years of industrial business practice
- Strong experience in internal control is desirable
- Strong financial/accounting background
- Experience in stock and fixed assets management
